Spreadsheets are excellent for starting out, but they reach their limits. The first sign is gathering the same number from multiple places: sales from one sheet, inventory from another, receivables from a third. When reconciling them takes hours weekly, you may have outgrown spreadsheets.
A second sign is several people editing the same file, causing conflicts or stale copies. A unified system gives each user permission over what concerns them and records who changed what and when, raising reliability.
Delayed reports are another sign. If issuing a Profit & Loss or checking a customer balance takes days, a system that generates them instantly frees your time for selling and managing. The same applies to collections: knowing outstanding receivables quickly improves cash flow.
This does not mean every company needs an ERP immediately. But if these signs repeat and start affecting decisions, an earlier move is cheaper than waiting until things tangle. Starting with an accounting or inventory module is usually enough.
